AfriBilling - quotes, invoices, recurring billing and online payments in one Laravel script

AfriBilling is a complete invoicing website for one business - a studio, an agency, a consultant, a contractor or any company that bills clients. Your team sends quotes that clients accept online with their typed name, invoices with a secure Pay now link, recurring invoices, credit notes and statements. Clients pay online or by bank transfer and see everything in a client portal. Expenses, reminders, reports, taxes and currencies are built in.

Six payment options - Stripe, PayPal, Paystack, Razorpay, PayHere and bank transfer - verified on the server. No auto-charge: clients pay each invoice, including recurring ones. The website is an installable app (PWA) with a light theme and a full dark mode.

An invoice editor that adds up

One secure link per invoice

Clients open the invoice on any device, check each line, download the PDF and choose how to pay: card, PayPal, Paystack, Razorpay, PayHere or bank transfer with a receipt upload. Partial payments when you allow them, a receipt by email right away.

Quotes accepted online

Clients accept a quote by typing their name - stored with the date and time - or decline with a reason. Convert it to an invoice for the full amount or a deposit in one click. Quotes expire after the validity you set, with a reminder before.

Recurring invoices - no auto-charge

• Weekly, monthly or yearly; ends after a count or on a date
• Created at your run time by the cron job and emailed automatically
• Clients pay each invoice - nothing is charged automatically

A client portal they will use

Balance due with Pay balance, invoices, quotes, payments and receipts, credit notes, statements as PDF or CSV and all invoices as one ZIP. Clients without a login can always pay from the link in their email.

Payments you can trust

• Stripe, PayPal, Paystack, Razorpay, PayHere and bank transfer with receipt approval
• Server-side verification of amount and currency; signed webhooks that fail closed
• Record check, cash or card payments; overpayments move to account credit

A dashboard for cash flow

Revenue this month, outstanding and overdue amounts, payments vs. expenses by month, receivables aging, recent activity and what needs attention today.

Reports, expenses and taxes

Profit & loss on a cash basis, sales tax collected per rate, aging, expenses by category and client statements for any period, with CSV export. Expenses with receipts can be billed to clients with a markup.

Your brand, light and dark

Colour presets or your own colours, logo, three invoice designs, a full dark mode, an installable app and every text editable and translatable with auto-translate. Social network links with your own icons.

Good to know

• One installation runs the billing of one business (owner, team and clients) - it is not a multi-company SaaS. USD and English by default; every rule and text is an admin setting.
• No auto-charge: clients pay each invoice, recurring ones included. Online payments need your own merchant accounts.
• English is bundled; other languages are added in the admin with optional auto-translate.
• All businesses, people and numbers of the demo are fictional sample content.

Support and updates

Support covers installation, configuration and bugs in the item. Server administration and custom development are not included.

Demo note: the live demo runs in demo mode - saving settings, uploads and deleting are disabled, no email is sent, the demo data refreshes itself, and payments are never simulated.

Install

1. Create an empty MySQL or MariaDB database and a user with all privileges (or use SQLite), and select PHP 8.3 or newer.
2. Upload the contents of the afribilling folder to your domain folder (e.g. public_html) and extract it.
3. Open your domain: the web installer checks the server, creates the tables and your owner account, with optional demo data.
4. Sign in and set your company details, logo, invoice numbering and design, taxes, payment gateways, email (SMTP), colours and languages in Settings.
5. Add the cron job shown in the documentation: * * * * * cd /path/to/afribilling && php artisan schedule:run

Updates

1. Back up, upload the new files over the old ones (keep .env, storage and public/uploads), sign in as the owner and click Run update.

Open documentation/index.html in the download - it works offline. It is also online at /codester/docs/ on the demo.
